Under the direction of the Office of Passport Directorate management staff, the Administrative Assistant will perform a variety of administrative functions in support of a senior manager.
Specific Duties:
â?¢ Type/create correspondence, memorandums, reports, and charts as requested by DoS management. â?¢ Review and edit correspondence and reports for grammar and coherence. â?¢ Set up conferences as requested by management. â?¢ Create and/or maintain an efficient task tracking system. â?¢ Answer incoming calls (external and internal) in a highly professional manner and forward calls, take messages, or resolve calls as warranted on an individual basis. â?¢ Receive deliveries and arrange for pick-up of outgoing shipments. â?¢ Develop an excellent understanding of Passport management roles, responsibilities, and protocols. â?¢ Take initiative to manage priorities and request clarification as required. â?¢ Report trends or patterns in the volume or nature of inquiries to management as necessary. â?¢ Maintain confidential employee records and/or subject matter files as requested by the management staff. â?¢ Attend meetings and generate minutes as necessary. â?¢ Ensure timely...
